Photography and video policy statement

Jamma Wellbeing recognises the importance of celebrating and promoting the positive impact of its work through photographs, video recordings and digital media. We are committed to ensuring that images and recordings of children and young people are captured, stored and shared safely, respectfully and appropriately.

 

This policy statement sets out how Jamma Wellbeing will protect children and young people when photographs or videos are taken during activities, training sessions, events, projects or online delivery.

Our Commitment

Jamma Wellbeing will:

  • Prioritise the safety, dignity and wellbeing of children and young people at all times
  • Obtain appropriate consent before taking or using photographs or video recordings
  • Ensure images are used in a respectful and appropriate way
  • Never use images that could place a child at risk of harm, exploitation or unwanted attention
  • Store photographs and recordings securely and only for legitimate organisational purposes
  • Follow safeguarding, online safety and data protection requirements relating to digital media


Consent

We will seek informed consent from a parent, carer or legal guardian before taking or sharing identifiable photographs or videos of children under 18 years of age.

Where appropriate, children and young people will also be asked for their agreement in an age-appropriate way.

Consent will include how images may be used, including:

  • Social media
  • Websites
  • Printed materials
  • Reports and presentations
  • Funding or promotional materials

Individuals have the right to withdraw consent at any time.


Safe Practice

When taking or using photographs or videos, Jamma Wellbeing will:

  • Use images that portray children positively, respectfully and appropriately
  • Avoid sharing unnecessary personal information alongside images
  • Avoid identifying children by full name unless explicit permission has been given
  • Ensure clothing, surroundings and poses are appropriate
  • Challenge or report any inappropriate use of images or recordings
  • Ensure only authorised individuals take photographs or recordings during activities where appropriate


Online Sharing

Images and videos shared online will be reviewed carefully before publication.

Jamma Wellbeing will take reasonable steps to reduce risk when sharing media digitally, including:

  • Using organisation-managed platforms and accounts
  • Limiting personal information linked to images
  • Removing content if concerns are raised
  • Ensuring content aligns with safeguarding and organisational values


Storage and Retention

Photographs and videos will be stored securely and accessed only by authorised individuals where necessary.

Media files will not be kept longer than required for legitimate organisational purposes and will be deleted securely when no longer needed.

 

Concerns

Any concerns regarding the use, sharing or storage of photographs or videos involving children should be reported immediately to a Designated Safeguarding Lead or a trustee of Jamma Wellbeing.
